What we collect
- Enquiries: when you use our enquiry form, we collect your name, business or site name, email address, phone number, postcode, the services you're interested in and your message. We also note which page you sent it from.
- Emails and calls: anything you tell us when you contact us directly.
- Customer records: if we carry out work for you, we keep contact details, site addresses, details of your equipment and the work we've done, quotes and invoices.
- Technical information: your IP address and browser details are processed by our hosting and security providers to deliver the website and protect it from spam and attacks.
How we use it, and why we're allowed to
- To reply to your enquiry and give you a quote. This is in our legitimate interests, and it's a step you've asked us to take before entering into a contract.
- To carry out, schedule and invoice the work you've asked for. This is necessary for our contract with you.
- To keep records the law requires, such as accounting records and refrigerant (F-Gas) records. This is a legal obligation.
- To keep our website secure and stop spam. This is in our legitimate interests.
We don't sell your information, and we won't send you marketing emails unless you've asked us to.
Who we share it with
We only share your information with companies that help us run our business. Each of them may only use it for that purpose:
- Cloudflare: hosts this website and checks enquiry forms for spam (Cloudflare Turnstile).
- Resend: delivers the emails sent by our enquiry form.
- Google: our email and the secure spreadsheet where enquiries are recorded. Maps on some of our pages are also provided by Google.
- Equipment manufacturers and suppliers: when we need to order parts or make a warranty claim for your equipment.
- Our accountants and professional advisers, and anyone we're legally required to share information with.
Some of these providers may process information outside the UK. Where they do, they use safeguards approved under UK data protection law, such as the UK International Data Transfer Agreement or the UK-US Data Bridge.
How long we keep it
- Enquiries that don't lead to any work: deleted after 24 months.
- Customer records, quotes and invoices: 6 years after our last job for you, as required for tax purposes.
Cookies
We don't use analytics, advertising or tracking cookies on this website.
- Cloudflare may set strictly necessary cookies to protect the website from bots and attacks. These don't track you and can't be switched off.
- Some of our pages show a Google Map. When the map loads, Google may set its own cookies. You can read how Google uses them in Google's cookie policy.
You can block or delete cookies in your browser settings at any time.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct it, or to delete it where we don't need to keep it
- object to, or ask us to restrict, how we use it
- ask for the information you gave us in a format you can take elsewhere
To use any of these rights, contact us using the details above. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
